Fall Check-out & Winter Housing Information

Congratulations, you are almost at the finish line!  As we approach the final weeks of the semester, the Office of Residence Life would like to inform you about the upcoming check-out procedures and closing information. We ask that you please review the information below and plan for your check-out accordingly.

Check-out Information

All students must vacate their housing assignment 24 hours after their last exam or by 6:00 pm Friday, December 20, 2024, whichever comes first. 

In cases where there are less than 24 hours between the last exam and the official closing date/time of the Residence Halls, residents must vacate by 6:00 pm, Friday, December 20, 2024.

Unless you are withdrawing, there is no paperwork to complete the check-out process.

If you have a final that begins after 6:00 PM on Friday, December 20, 2024 and need to stay until 9:00 AM on Saturday, December 21, 2024, you must complete the Check-out Extension Request. This form must be completed by December 6, 2024.

Please plan accordingly:

  • Those who do not vacate their housing assignment in accordance with the check-out requirements as communicated here, may be assessed a $75.00 improper check-out fine.
  • Please keep in mind that students are responsible for providing their own carting/moving equipment (cart or dolly) for check-out, if needed.  There will be no dollies or carts provided by the College.
  • Students are not permitted to re-enter their Fall 2024 housing assignments at any time throughout the Winter Break. Therefore, we ask that you please pack accordingly. Please bring home all important belongings including but not limited to; medicine, chargers, and documents.
  • All students must review and follow the check-out checklist before leaving their housing assignment.

Spring 2025 Housing Status

Returning to your current housing assignment for Spring 2025:

If you are returning to your current housing assignment for the Spring 2025 semester, you are not required to remove your belongings. However, the College is not responsible for any items left in the residence halls/apartments. It is strongly suggested that you take home all of your valuables. Please note that if deemed necessary, College Officials (such as Facilities, or other staff members) or outside contractors may need to enter your assignment to make necessary repairs or assessments. Students are not permitted to re-enter their Fall 2024 housing assignments at any time prior to Spring check-in. Therefore, we ask that you please pack accordingly.

Withdrawing for Spring 2025:

If you are withdrawing for the Spring 2025 semester you must remove all of your belongings from your housing assignment by the checkout deadline.  In addition, you must complete the Housing Withdrawal Form.

The College is not responsible for any belongings left behind. Items left behind will be discarded and fines will be assessed accordingly.

Graduating in December:

If you indicated that you are graduating on your Spring 2025 Housing Intent Form you do not need to fill out any paperwork in order to be removed from housing. You must remove all of your belongings from your housing assignment by the checkout deadline. The College is not responsible for any belongings left behind. Items left behind will be discarded and fines will be assessed accordingly.

Approved for a Room Change for Spring 2025:

If you are approved for a room change for the Spring 2025 semester you must remove all of your belongings from your housing assignment by the checkout deadline. You will move in to your new Spring 2025 housing assignment on check-in day for the Spring semester.

The College is not responsible for any belongings left behind. Items left behind will be discarded and fines will be assessed accordingly.

Studying Abroad for Spring 2025:

If you are studying abroad for the Spring 2025 semester, you must obtain and complete a temporary withdrawal form and submit it to the Office of Residence Life before December 6, 2024. This form can be obtained by emailing reslife@ramapo.edu. Students who complete this form will be guaranteed housing upon their return. Specific assignment location will be determined at the time of placement.  You must remove all of your belongings from your housing assignment by the checkout deadline. The College is not responsible for any belongings left behind. Items left behind will be discarded and fines will be assessed accordingly.

Important Information:

Closing Quiet Hours

24 Hour Quiet Hours:

In order to maximize your study potential, we will observe 24 hour quiet hours beginning on Friday, December 13, 2024 at 8:00 am. During the last week of the semester, quiet hours will be in effect 24 hours a day. More specifically, this means noise should not be heard outside of your housing assignment or areas adjacent to the Residence Halls during this period. This is a very important study time for many students. Please be courteous to your neighbors. Residents in violation of any college policies during exam week or 24 Hour Quiet Hours may be asked to leave, be held responsible with the Office of Student Conduct and may jeopardize their housing privileges for Spring 2025 (if applicable).

Overnight Guests

Overnight Guests

The final night for residents to have overnight guests on campus is Thursday, December 19, 2024.  Overnight guests will not be permitted to stay on campus after this time.

Residents with an approved check-out extension are not permitted to have guests.

Vacancies in your housing assignments

If there is a vacancy in your housing assignment the space may be assigned. Please be advised that there could be another student assigned to that vacancy prior to Spring semester check-in. Please note that your belongings should not occupy more than your portion of the room so that space is available upon the resident’s check-in. In addition, outside contractors and/or College personnel may be entering your living unit.

Final Room Inspections & Damage Assessment

Your final room inspection for the semester will take place once the residence halls/apartments have been vacated. We recommend that roommates work together to ensure that your assignment is ready for inspection. Residents who fail inspection or possess a prohibited item(s) will be billed accordingly.

During this time, Residence Life staff will be assessing damages in the residence halls. All damages will be assessed by Residence Life Professional Staff members in conjunction with Facilities. This assessment will be conducted once the residence halls are closed. If there are damages to your housing assignment and you would like to claim responsibility for the incurred damages you may email your hall office from your RCNJ email account by the time you check out.

Prohibited Items and Conduct List

Please be sure to review the Prohibited Items and Conduct List, in the Guide to Community Living.  It is the student’s responsibility to be familiar with this information during your time in housing. In the event that there are any updates made throughout the year, please re-check the website prior to check-in for the Spring semester.

Packages and Mail Between Semesters

Mail will not be forwarded between December 20, 2024 and January 19, 2025. The Residence Life Mail room will be closed as of 12:00 pm on December 19, 2024. Therefore, ALL packages must be picked up before 12:00 pm. Please plan accordingly.

Packages may be delayed at the start of the semester.

At the beginning of each semester, the mailroom receives a high volume of packages.  The mailroom staff process the packages as quickly as possible, but there might be a delay in receiving an email indicating your package is available for pick up.  Please keep this in mind when having packages sent to you at the start of each semester.

Spring 2025 Room Change Request

The Office of Residence Life is conducting an open room change request period for Spring 2025. Students interested in a room change for the Spring 2025 semester must submit a room change request form via the Room Change Process Website.

Room change request forms are due by Tuesday, November 26, 2024 at 11:59pm. Requests after this date will not be accepted.

Spring 2025 Ramapo Dollar Requests & Meal Plan Changes

Ramapo Dollars Requests:

  • The purchase of Ramapo Dollars is voluntary and non-refundable.
  • Ramapo Dollars can be purchased at any time in any increment.
  • Requests for Ramapo Dollars for the Spring 2025 semester must be emailed to ramapodollars@ramapo.edu with the SUBJECT LINE: Spring 2025 Ramapo Dollars Request.  Requests must be sent via the residents’ Ramapo e-mail account only. Please be sure to include the following information in your email request:
    • Complete first and last name
    • Banner ID Number (R-Number)
    • Ramapo Dollar Amount

Meal Plan Requests:

  • Students who wish to change their meal plan for the Spring 2025 semester can do so until January 27, 2025. Requests must be emailed to mealplan@ramapo.edu via their Ramapo email account. Please be sure to include the following information in your email request:
    • Complete first and last name
    • Banner ID Number (R-Number)
    • Meal plan choice

Flex Plan or Block Plan Requests

Residents who wish to add a Block Plan or Flex Plan for Spring can do so beginning December 1, 2024.  Requests must be e-mailed to mealpan@ramapo.edu via the resident’s Ramapo College e-mail account.  Please be sure to include the following information:

  • Complete first and last name
  • Banner ID Number (R-Number)
  • Plan of choice

Please note, Block and Flex plans DO NOT automatically roll over to the Spring semester.  If you had a block plan or a flex plan in the Fall and would like one for the Spring, you must make the request.  It will not be automatically added to your account.  Block Plans and Flex Plans are non-refundable.

100% Refund Dates for Withdrawing from Housing and Meal Plan

Students withdrawing for the Spring 2025 semester must fill out a Housing Withdrawal Form, and follow the check-out procedures.

  • The 100% refund date for withdrawing from Spring 2025 housing is January 27, 2025. Students who withdraw AFTER January 27, 2025 but BEFORE February 3, 2025 will be assessed 50% of their housing charges for the Spring 2025 semester. Students who withdraw after February 3, 2025 will not be entitled to a housing refund. Please be mindful of the refund deadlines if you are considering withdrawing from housing.
  • The last day to add, drop, or change your meal plan is January 27, 2025.
Housing Selection Deposit for Fall 2025 Housing (Due February 3, 2025)
  • In order for resident students to secure Fall 2025 housing, a $500 non-refundable housing deposit will be required by February 3, 2025.
  • The housing deposit will be credited against your Fall 2025 housing charges.
  • The Fall 2025 Housing Selection deposit can be submitted by cash (in-person only), check or money order (in-person or by mail), credit card or electronic debit of checking or savings account (online only). Instructions for online payments can be found through the Office of Student Accounts website.
  • Residents who do not submit the $500 non-refundable housing deposit by February 3, 2025 will not be eligible to participate in the Fall 2025 Housing Selection Process.
Winter Housing Information
  • To qualify for Winter Housing, students must have a Spring 2025 housing assignment and fall under one of the following categories:
    • An International Student
    • Registered for an Internship through the Cahill Center
    • A student employee working for Ramapo College (employment verification required)
    • An in season RCNJ athlete required to be here for Winter
    • Housing Insecure (Ramapo College is your permanent address- Approval is required for this option)
    • Enrolled in a Winter Course
    • Student Teaching
  • Winter Housing Applications are due by Friday, December 6, 2024
  • Winter Housing begins on Thursday, January 2, 2025 and ends on Sunday, January 19, 2025.
  • Check-in for Winter Housing is Thursday, January 2, 2025 from 2pm-4pm.  Students may check in at the RA Hall Office of the area in which they will reside in for Spring 2025.
  • The cost for Winter Housing is $697.32 The cost will be billed whether a student stays one day or the entire length of Winter Housing.  It is the responsibility of all students to ensure payments are received by the Office of Student Accounts by the payment deadline.
  • Winter Housing charges will be posted to all student accounts by 4:30pm on Wednesday, December 13, 2024. Winter Housing charges must be paid in full by Thursday, January 2, 2025.

In-season Winter athletes who reside on campus and students working for Ramapo College receive a housing waiver. The Office of Student Accounts will post a housing waiver to the student’s account after housing charges have been posted. If a student does not see the housing waiver posted to their account by Friday, December 20, 2024, please send an email to reslife@ramapo.edu.
